How to turn data into engaging communications

Turning raw data into meaningful communication is no small feat—but for today’s communications professionals, it’s a skill worth honing.

Turning raw data into meaningful communication is no small feat—but for today’s communications professionals, it’s a skill worth honing.

Whether you’re working in government, not-for-profit or corporate sectors, translating analytics into stories that resonate is essential for reaching and engaging diverse audiences.

The first step is knowing your audience. Data becomes valuable when it’s made relevant. It’s not about showcasing spreadsheets or dashboards—it’s about uncovering what matters to the people you’re trying to reach. For example, a chart showing increased attendance at community events is more compelling when paired with a story about the people behind those numbers.

Once insights are gathered, the next move is clarity. Too often, data is buried under jargon or unnecessary complexity. Communicators need to ask: what is the key message this data is telling us, and how can we say it simply? Focus on one or two takeaways. The goal isn’t to overwhelm but to inform and inspire action.

Visual storytelling is another powerful tool. Infographics, short videos and animations can make complex findings more digestible. On social media, this is particularly effective. A single stat, paired with a strong visual and a human element, can cut through the noise and reach wider audiences. Think less about impressing and more about connecting.

Tone matters, too. Data doesn’t have to be dry. When used well, it can spark emotion, curiosity or even urgency. The challenge is to find the narrative behind the numbers. What is changing, and why does it matter now? Who does it affect, and how can the audience be part of the solution?

Importantly, credibility cannot be sacrificed for simplicity. While it’s vital to keep messages accessible, accuracy must always be maintained. If needed, include links to full reports or offer opportunities for deeper dives, especially for media or stakeholder engagement.

Choosing the right platform is just as critical. What works in a board presentation may not translate on Instagram. Tailor the format for the medium—whether it’s a LinkedIn post for professional reflection, a short video for TikTok, or a carousel graphic for an internal newsletter.

Finally, always loop back. Analytics should inform future messaging, not just explain the past. What content performed well? What topics drove engagement or action? This feedback is the key to evolving your strategy and maintaining relevance over time.

When done right, data-driven communication not only informs but empowers. It builds trust, invites dialogue and, ultimately, helps drive change through stories that start with numbers—but never end there.
