In the realm of communications, there’s been a whirlwind of discussion about the potential of AI, often shrouded in speculation and theory. However, through my engagements, such as the masterclass at the Generative AI Summit, I’ve realised that communication professionals are seeking something more concrete: practical AI use cases.
They are eager to learn how to actually apply AI in their work. This realisation led me to conduct the webinar, “From Tool Confusion to Communication Fusion: Practical AI in Comms”, last week. Given its positive reception, I am sharing the use cases covered in the webinar in this article, aiming to demystify AI and provide hands-on knowledge for communication professionals keen on integrating AI into their practices effectively.
In the fast-paced world of communications, staying abreast of current trends and policies is crucial. AI, especially tools like ChatGPT, has revolutionised this aspect of our work. With AI’s ability to access the latest online information, including policy documents and industry statistics, the research process has become incredibly efficient.
Rapid Research and Synthesis
AI tools rapidly gather extensive data from the internet and synthesize it into actionable insights. This capability is particularly useful for comprehensively understanding complex policies or staying updated with the latest industry trends.
Practical Application
For communication professionals, this means quicker turnaround times in ideation and strategy development. By inputting specific queries into AI tools, you can receive a condensed version of extensive research in a matter of seconds, allowing you to focus more on strategic implementation rather than the time-consuming research process.
AI’s transformative impact extends to strategic planning in communications. This involves leveraging AI for idea generation, scenario analysis, and comprehensive communication planning.
Idea Generation for Communication Strategies
AI tools facilitate innovative strategy development for internal communications campaigns. For instance, AI can be prompted to provide strategic ideas and engagement tactics for a campaign, such as boosting environmental awareness among employees. It can suggest various channels for communication, like intranet, email, and physical signage, offering a comprehensive plan for effective strategy implementation.
Scenario Analysis for Communication Outcomes
In strategic planning, AI also plays a key role in scenario analysis. By giving AI the context of different scenarios, communication professionals can ask it to analyze potential outcomes. For example, AI can be prompted to consider various reaction scenarios—positive, uncertain, or negative—and provide tailored strategies for each. This includes suggestions on appropriate messages, channels, and follow-up actions for each scenario, ensuring preparedness for different stakeholder reactions.
AI has revolutionised content creation for communications, particularly in text and image generation.
Text Content Generation
AI tools streamline drafting and editing text content, enhancing efficiency and creativity. While general AI tools like ChatGPT offer broad capabilities, specialized options like Staffbase Companion cater specifically to enterprise communication needs with enhanced security and compliance features.
Image Content Generation
AI also significantly enhances the creation of visual content. Tools like DALL·E and Midjourney enable communicators to create personalized and impactful images and illustrations, adding a creative flair to their communication materials.
AI’s role in enhancing employee engagement is multifaceted, offering innovative ways to connect with and understand employees.
Personalised Communication
AI enables crafting personalized messaging, crucial for effective employee engagement. By analyzing employee feedback and survey data, AI tools can help tailor communications that resonate more deeply with individual employees or specific groups.
Data Analysis for Insightful Feedback
AI’s data analysis capabilities allow for quick extraction of actionable insights from employee feedback. This helps in understanding employee sentiments, preferences, and needs, leading to more informed decision-making and strategy development.
AI plays a crucial role in managing stakeholder relationships and facilitating change management.
Tailored Communication Strategies
AI aids in developing communication strategies that are tailored to different stakeholders or departments. By analyzing stakeholder feedback and preferences, AI can help create targeted communication that resonates more effectively with various groups.
Role-Play Simulations for Stakeholder Engagement
AI tools can simulate scenarios for stakeholder interactions, enabling communicators to anticipate and prepare for various responses. This helps in aligning proposals and communication strategies more closely with stakeholder expectations and needs.
In crisis situations, the speed and accuracy of communication are paramount. AI, particularly when complemented by tools like the Zapier ChatGPT plugin, significantly enhances crisis management capabilities.
Rapid Response and Consistency
AI tools, integrated with the Zapier ChatGPT plugin, can automate alerts and responses, ensuring quick and consistent messaging across various platforms. This helps maintain clarity and prevent misinformation. The standout feature of the Zapier ChatGPT plugin is its no-code functionality, allowing you to build automations between over 5,000 tools simply by conversing with ChatGPT.
Real-Time Feedback Analysis and Action
AI swiftly analyses feedback from sources like Google Forms. Utilizing the Zapier ChatGPT plugin, these insights are automatically communicated through channels like Slack, ensuring timely and cohesive updates. This combination of AI’s analytical power and no-code automation facilitates efficient decision-making and action during crises.
Conclusion
The exploration of these six practical AI use cases in internal communications merely scratches the surface of what’s possible. Each area presents a rich tapestry for further exploration and could be a standalone subject for an in-depth discussion. Beyond these, there exists a plethora of unexplored AI applications in communications waiting to be discovered. This is an invitation to communication professionals to delve deeper, experiment, and innovate, uncovering new ways AI can enhance and transform communication work. As we stand at the cusp of this technological evolution, it’s exciting to think that we are only beginning to unlock the vast potential of AI in the world of communications.
